Maintenance Reminders vs Certificate Expiry Tracking

When to use recurring maintenance scheduling, certificate expiry tracking, or both while keeping sites, assets and evidence connected.

Reviewed August 22, 2026 by SystemLineage

Direct answer: Maintenance reminders schedule repeat work for a site or asset, while certificate expiry tracking follows a dated credential for a person, supplier or asset. Use both when a completed inspection produces evidence with its own renewal date. Keep the shared site or asset record, but preserve separate histories and reminder rules.

Use maintenance schedules for recurring work

A maintenance plan defines frequency, checklist, assignee and evidence. Completing one occurrence closes that work order and creates the next date without rewriting the completed record.

Use expiry tracking for dated credentials

A credential has an owner, issue date, expiry date, private document and configurable reminder windows. Renewal closes the old schedule and creates a new credential version while retaining history.

Do not turn reminders into certification claims

The software can show records, dates, reminders and evidence. It does not decide whether work meets a law or issue a regulatory certification; the responsible person still reviews that obligation.
